Can I unassign a cart?


Yes. If you have assigned a cart to the wrong person, or if you need to add additional
information to the cart, you can unassign it. Click on the Carts tab, click Draft Carts,then click Unassign” for the specific cart. See “Correcting an Order” if your cart has already been submitted by the Requester.

What does it mean to “Assign the Cart?”

When you select “Assign the Cart” you are simply allowing the Requester to view and possibly
complete your cart. The Requester will insert the project and accounting, select approvers, and “Place Order.”  Until the cart has been assigned to the Requester and s/he complete the information to “Place Order,” the order cannot be approved by the approver.

I am a Requester. When I “Place Order,” where does it go?

For catalog orders less than $3,000, the order will be sent directly to the supplier/vendor. For catalog orders over $3,000, the order will be put in to the workflow the Spend Approver and Financial Approvals.

For non-catalog orders, regardless of dollar amount, the order will be put in to the workflow the Spend Approver and Financial Approvals.

To view the next step in the approval process, open the requisition by going to “My Requisitions”
on the History tab. Find the requisition and click on the requisition number to view the
contents. Click on the “PR Approvals” tab at the top of the requisition to view the approval
workflow. To see exactly who it will be routed to, click on “View Approvers” under the “PR
Approvals” tab.

I am the approver. What will happen when I approve the requisition?

To view the next step in the approval process, open the requisition by going to “View My
Approvals” on the left-hand side of the home page. Find the requisition and click on the
requisition number to view the contents. Click on the “PR Approvals” tab at the top of the
requisition to view the approval workflow. To see exactly who it will be routed to, click on “View
Approvers” under the “PR Approvals” tab.

I am the approver. The project or accounting information is incorrect on the

Approvers can return the requisition to the requester – with comments – to update the
accounting information. To return the requisition, select “Return to Requester” in the available
actions menu at the top right, and click “Go.” Enter comments the “Reason for Return” message windown and click “Return to Requester.” The requisition will be returned to the requester for them to update the project and accounting information.

The Requester can also return the Shopping Cart to the Shopper with comments for changes.

I am the approver. How do I approve the order that was sent to me?

After you log into BuzzMart, select “View My Approvals” on the left-hand side of the home
page. When the requisition number appears, click on it to view the contents. Once you agree
to this purchase, select “Approve/Complete” from the available actions menu at the top right, then click Go.

I cannot find a supplier/vendor in BuzzMart. What do I do?

All suppliers must complete and return a vendor profile form if they wish to do business with
Georgia Tech. Vendor profile forms can be downloaded from the Business Services Vendor
Information page at http://www.procurement.gatech.edu/vendorinfo.php. A purchase order
cannot be issued to the company unless it is a supplier in the BuzzMart.

If I purchase multiple items in one shopping session, can I charge each item to a

Yes. You can charge each line item to a different project or account number, or split project
or account numbers within a line item. Line item splits or changes to a line item accounting
code override the project or account code displayed at the header. Do not create a split
distribution on the same project or account. If only one project or account is being used for a
requisition or line item, there is no reason to split account codes.

Why can’t I change quantities on some items in my shopping cart?

Items that are selected from most punch-out suppliers’ sites cannot be modified once they
are transferred to the BuzzMart shopping cart. If an item from a punch-out supplier can be modified, click Modify which will return to the Punch Out catalog to modify the items.

If the ‘modify’ button is not available, you must delete the cart and start again if you need to change the quantity.





For hosted catalog items, simply edit within each line making sure to click "Update" or remove the line by clicking Remove Item.

How do I begin shopping in BuzzMart?

There are several ways to begin shopping—to create a shopping cart —depending on the
type of purchase. Create a shopping cart with catalog items (see FAQ ‘hosted supplier’ and ‘punchout supplier’ descriptions) or create a shopping cart with non-catalog items, if the items are not in catalogs. To create a non-catalog shopping cart, click Forms on the top menu. What is the difference between a “hosted supplier” and a “punch-out supplier?”


A hosted supplier is a pre-approved supplier/vendor whose catalogs are loaded in BuzzMart with Georgia Tech contract pricing and product descriptions. Use the top search entry field (i.e. Googlelike search bar) to search hosted catalogs by keyword or catalog number. Add the items by clicking "Add to Cart." 

The Punch Out Catalogs can be found on the BuzzMart home page. Punch Out catalogs are customized by which the supplier/vendor controls the inventory and shopping experience. The prices are pre-approved and on contract with Georgia Tech. Click on the Punch Out catalog to navigate to the customized website to search for items. After selecting items, click to check out (Check Out on the Punch Catalogs may have different operative words, such as Add to Requisition or Submit). The system will transfer the selected items to a BuzzMart shopping cart.

Am I authorized to shop in BuzzMart?

Yes. All employees shopping on official University business can use BuzzMart, but not
everyone can submit a shopping cart for approval. If your role is listed as “Shopper,” you must
assign your cart to a Requester in your department. The Requester will apply accounting
information and submit the requisition for approval.

Can I access BuzzMart from home?

Yes. If you are able to access TechWorks from home, you will be able to access BuzzMart
as well.

I can’t access BuzzMart. What do I do?

There are 2 requirements to access BuzzMart: (1) signed authorization from your Dean or
Department Head regarding your BuzzMart role; and (2) training. Talk to your Finance Manager to ensure you have authorization from your Dean or Department Head to access the system. If so, please ensure to register and attend the required training for your role. If you need authorization from your Dean or Department Head, go to the Business Services web page download and complete the BuzzMart Role Set-up form, and return it to
SQAdmin@business.gatech.edu Please also ensure you take the required training for your
role.

How do I access BuzzMart?

To gain access to BuzzMart, your department administrator must first assign a BuzzMart Role: (Shopper, Requester, Financial Approver, and/or Spend Authority Approver. Training is required before your access can be requested. Go to www.training.gatech.edu to complete online tutorials for the Shopper and Spend Authority Approver or reigster to attend classes for the Requester and Financial Approver (NOTE: The Financial Approver class is called Approver; Spend Authority Approvers can attend this class for an instructor-led session).

After attending training, go to Procurement's home page, click forms, and complete the BuzzMart Access Request Form. Print the form, print your training transcript indicating you have completed training, and send those documents via fax or email to Business Services. Your Department Head's signature is required on the Access Request Form. The BuzzMart Administrator will contact you via email indicating your access has been approved.
